As a mom of two adult children with special needs, I’ve experienced firsthand how traditional time management advice often doesn’t fit my reality.

It’s the mental and emotional load that comes with caring for children with special challenges.
Many special needs moms carry a constant mental checklist, including upcoming appointments, school meetings, medical decisions, and long-term planning for their child’s future.
Even when you’re not actively doing something, those responsibilities are still on your mind.
And that mental load takes energy—more than most people realize.
When your energy is stretched thin, it becomes even harder to feel organized, focused, or productive.
That’s why traditional time management advice often falls short.
It focuses on controlling your schedule instead of acknowledging the real demands of caregiving life.
Why Time Management Doesn’t Work for Special Needs Moms
Most productivity systems assume that life is predictable.
They assume you can plan your day down to the hour—and everything will unfold exactly as scheduled.
But for most of us moms who have kids with special challenges, flexibility isn’t optional—it’s necessary.
There are days when an appointment may run long, the school may call unexpectedly, or your child may simply need more of your time and emotional support that day.
Earlier in my coach training, I studied a time management system that encouraged planning every hour and sticking to it no matter what.
While a system like that can work for some people, I quickly realized this kind of system wasn’t realistic for me.
When your day includes therapies, medical appointments, and unpredictable needs, life rarely unfolds exactly according to plan.
So when rigid schedules fall apart, many moms begin to feel like they’re failing at time management.
But it’s important to reframe that—because you’re not failing when you’re putting your kids first.
The system simply wasn’t designed for your life.
And when it feels like you’re failing, it becomes harder to stay motivated and you may be tempted to give up on time management entirely.
Which is exactly why a different approach is needed—one that actually supports the life you’re living.
A Better Approach to Time Management for Special Needs Moms
Instead of trying to control every minute of your day, a more supportive approach is to focus on prioritizing what matters most.
This is what led me to create my Time Prioritization System.
Rather than trying to do everything, this approach helps you get clear on the areas of your life that truly matter—and then intentionally create time for those priorities.
Because as moms, we don’t want to compromise on what matters most to us.
Our family, our health, our home, and even our work or personal goals all play an important role in our lives. And for many women, finances are part of that picture as well.
When you begin to look at your life through these key areas, it creates more clarity around what truly matters.
And with the right support and guidance, it becomes so much easier to turn that clarity into consistent action.
It becomes easier to make decisions about your time…
easier to recognize what truly needs your attention…
and easier to let go of what doesn’t.
Because the truth is that time is limited on this planet.
You may not have time to do everything, but you can choose to make time for what matters most.

So how is it possible for special needs moms to get a handle on their time when life feels so unpredictable… and there’s already so much on their plate?
Through my own experience, I’ve found that managing time in a life like this requires a different approach—one that works with your reality, not against it.
Here are a few key principles:
- Focus on what truly matters each day
- Allow flexibility when “life happens” (because it will)
- Let go of unrealistic expectations
- Create small pockets of time instead of waiting for perfect conditions
It’s less about controlling your day and more about prioritizing what matters most.
Reclaiming Time for Yourself
One of the biggest challenges many special needs moms face is feeling like there’s no time left for themselves.
Between caregiving responsibilities and everyday demands, personal time is often the first thing to disappear.
This is a huge problem because constantly giving to others without giving to yourself drains your energy. You can’t pour from an empty cup.
Taking care of yourself isn’t selfish—it’s necessary.
Sometimes that looks like:
- creating small pockets of quiet time
- prioritizing your health
- reconnecting with personal goals
- doing something that brings you joy
These moments help restore the energy you need to continue showing up for your family.
Creating Space for Your Own Goals
Many special needs moms quietly set aside their dreams.
Not because those dreams don’t matter—but because life becomes so focused on caregiving that it can feel nearly impossible to pursue anything else.
But creating something meaningful for yourself—whether it’s a business, a career, or a personal passion—can be incredibly rewarding.
This is actually what led me to become a life coach. After dedicating 20 years to raising my two children with special needs as a stay-at-home mom, I realized I wanted something more for myself.
And while I’ve added more to my schedule, I’ve also found that I have more energy—because I’m living my purpose.
When you begin to make space for the things that light you up…
when you allow yourself to invest even a small amount of time into you…
it can create a renewed sense of purpose and confidence in your life.
And when it’s built in a way that honors your real-life responsibilities, it doesn’t take away from your life—it actually adds to it.
